DAM / Filemanager
DocsThis page explains what the DAM / File Manager is and how you can use it within KLEKSI.
The DAM (Digital Asset Management) is the central environment for managing, organizing, and archiving files. Here you can store images, documents, audio, video, and other files, and then link them to objects within your collection.
The DAM is designed to make managing digital files as simple as possible, without requiring knowledge of file formats, conversions, or technical storage methods.
Open the DAM / File Manager
Go to DAM / File Manager via the menu on the left.
Here you get an overview of all folders and files stored within your environment.
With the + button you can:
- Create a new folder.
- Upload one or more files.
Manage folders
To keep your files organized, you can create an unlimited number of folders and subfolders.
Folders can be used, for example, to organize files based on:
- Collections
- Projects
- Exhibitions
- Year groups
- Object types
- File types
The folder structure has no influence on object registration and serves solely for organizing files within the DAM.
Upload files
Upload via the upload button
- Click on the + button.
- Select one or more files from your computer.
- Confirm the upload.
The files are then automatically saved in the selected folder.
Upload via drag & drop
You can also file directly from:
- Windows Explorer
- macOS Finder
- tow to the DAM.
Drag one or more files from Explorer (Windows) or Finder (macOS) to the window within the DAM / File Manager and release the files into the pop-up window that appears. Click 'Upload' to start the upload. A progress bar displays the upload progress for each file. There is no limit to the number of files you can upload at once. The maximum file size is 50TB.
During the upload, KLEKSI verifies the integrity of each file using an integrated checksum check. A unique digital fingerprint of the file is calculated and stored. After the upload, it is checked whether the received file matches the original file on your computer exactly.
This check helps detect damaged or incomplete uploaded files and contributes to the reliability and sustainability of your digital collection. This ensures that files are stored correctly and that the integrity of the original file is preserved.
Supported file formats
KLEKSI supports virtually all common file formats and extensions, provided they are permitted from a security perspective.
Examples are:
- Images
- PDF documents
- Office files
- Audio clips
- Video files
- 3D files
- Archive files
- Other documents
The original file is always stored securely and remains fully preserved.
Linking files to objects
Files stored in the DAM can easily be linked to objects.
When you select Add Media File(s) within an object, the DAM opens and you can select existing files without having to re-upload them.
One file can be linked to multiple objects if desired.
View preview
When you select a file in the DAM, a preview is shown on the right side.
Depending on the file type, you can see, among other things:
- A preview of the file.
- The filename.
- The file size.
- Image dimensions.
- Other technical specifications.
In the top right corner of the preview, you can enlarge the image and view it full-screen.
Adding metadata to files
Metadata can be linked to every file. To do this, you can create an object type and configure it flexibly. The metadata functionality works according to the same principle as with object registrations. This allows you to determine which data you want to record and how it is presented.
Examples of metadata are:
- Title
- Description
- Author
- Photographer
- Copyright information
- Dating
- Keywords
The metadata interface can be fully configured based on your organization's needs. For more information on configuring an object type, view the documentation on Object Types.
Automatic optimization
KLEKSI automatically optimizes files for use within the dashboard and on websites.
Images
For images, automatically optimized versions are generated that load faster and consume less data traffic.
As a result:
- Load pages faster.
- Less storage space is used.
- Visitors consume less data.
- Remains the ecological footprint of the collection as low as possible.
- The original file is always preserved unchanged.
Audio and video files
Audio and video files can be automatically processed into web-friendly formats and quality levels, so that they can be played efficiently on various devices and internet speeds.
In this case as well, the original source file is always preserved.
Security and storage
All original files are securely stored and kept redundantly.
This means that:
- The original file is never overwritten.
- Derivative files are stored separately.
- Files are protected against loss due to hardware failures.
- The original source files always remain available.
Important
The DAM / File Manager serves as the central archive for all digital files within KLEKSI. By first storing files in the DAM and then linking them to objects, you keep your collection organized, prevent duplicate uploads, and manage all your digital assets from one central environment.
