  • Is KLEKSI affordable for organizations with limited resources?

    Our pricing structure is based on the actual use of our services, which depends on the amount of objects/descriptions in the system or the amount of data being processed. This approach allows us to offer competitive rates that suit different usage scenarios. For organizations with limited budgets, KLEKSI has developed entry-level packages that are cost-efficient.

    The distinction between entry-level packages and standard packages lies mainly in the allocated MBs per description/object. Please note that entry-level packages do not support specific procedures such as loans, restorations, conservation, and the like. These packages are designed to meet basic needs at an affordable rate, while our regular packages offer a wider range of features and capabilities for more comprehensive management.

  • Is KLEKSI multi-tenant and can it handle a large number of customers?

    KLEKSI is a cloud-based application (SaaS) that is naturally suitable for various user scenarios. The system is designed with scalability at its core, ensuring speed is not affected even as more customers join. Thanks to advanced load balancing, the workload is efficiently distributed across multiple servers, resulting in optimal performance. In addition, the system can scale up and down automatically, ensuring consistent high performance regardless of user load. With unlimited user options, KLEKSI offers a flexible and reliable solution for all your needs.

  • Is KLEKSI also available in other languages?

    Yes, KLEKSI is available in any language. KLEKSI was developed to provide an intuitive and user-friendly experience regardless of a user's language preference. Whether you want to look up information, create content or collaborate with others, KLEKSI offers a versatile and customizable environment that meets your specific language needs.

    We understand the importance of cultural and language diversity, which is why we made sure KLEKSI is suitable for users all over the world. With multi-language support, users can feel comfortable and utilize the full functionality of the system regardless of their language background.

  • Is it possible to configure functionalities and what effect does that have on the cost price?

    KLEKSI is designed and furnished in such a way that customers can shape their own environment. This makes KLEKSI very flexible and various structures and applications are possible in the system. There are no additional costs associated with configuring functionalities yourself.

  • Is it possible to provide various interfaces (with different sets of fields) depending on the target group or type of heritage?

    In KLEKSI it is possible to configure interfaces yourself for any desired structure. This makes various applications possible for KLEKSI. There are no additional costs associated with configuring interfaces yourself. You can also save interfaces as favorites so that you can easily switch between one interface and another.

  • What about the migration approach, tooling and support?

    KLEKSI is developing tools that allow data from various systems to be easily imported into KLEKSI. Because KLEKSI is very flexible with the data structures, almost all systems are compatible with KLEKSI.

  • What costs do we have to take into account for updates?

    KLEKSI will always continue to evolve. Because it is a SaaS application, all customers will benefit from this. The update costs are included as standard in the licenses. Linking third party applications is also possible.

  • Is there a possibility to share, reuse and link data?

    KLEKSI uses Linked Open Data with which KLEKSI complies with the Dutch standard: DERA (Digital Heritage Reference Architecture) of the NDE (Digital Heritage Network). This means that your public data is published via a SparQL endpoint and therefore made accessible and searchable for researchers, for example

  • How is the data accessed on our web page?

    KLEKSI supplies a (custom-made) front end as standard. This is easy to install (possibly by us) on your website. If desired, we can offer an API. The front end contains a results page, a detail page per object and a fast advanced search function.

  • What about import options and offline use?

    KLEKSI takes care of importing your data for the most seamless transition possible. Because it is a cloud application, it is not possible to work completely offline. This makes your data more secure because it is not stored locally.

    The option to work partly offline is on our roadmap. This allows you to continue working in the event of a temporary internet outage.

  • Is there a possibility to integrate with other applications?

    In theory it is possible to connect any system to KLEKSI. We need more information to provide a detailed answer that matches the application you wish to integrate.

  • What about the flexibility of the data model?

    KLEKSI offers the user the opportunity to set and adjust their own data model, so that almost all data fits in KLEKSI.

  • How many versions are there of KLEKSI?

    There is always only 1 version of KLEKSI. KLEKSI is continuously developed for you. So you never have an outdated system and always the latest version. Customers with custom-developed functions also have the same version. The custom-developed functions are separate from this.

  • Can KLEKSI be linked to our existing website?

    Yes, KLEKSI can be linked to any website or integrated into an (existing) website.

  • Our website is maintained by an external agency or system administrator. How does the communication proceed?

    If your website is maintained by an external party or by a system administrator, you do not have to act as an intermediary. If changes are necessary, we will contact the external party directly (with your approval, of course). We try to relieve you as much as possible so that you can continue to focus on your work.

  • Our data is stored in the cloud, do we retain ownership of our data?

    Yes, you remain the owner of your data at all times. We have chosen Amazon's cloud servers. One of the reasons is that Amazon Web Services (AWS) offers standard contract terms in accordance with the new European laws and regulations regarding data and privacy. This way, your data remains within Europe and is also stored encrypted so that third parties cannot use your data.

  • How many collections can I create?

    You can create unlimited collections and subcollections in KLEKSI. You can then link objects or descriptions to 1 or more (sub)collections.

  • Can I also create subcollections?

    Yes, it is possible to create unlimited subcollections. You can also create subcollections within subcollections within subcollections, and this process can be repeated endlessly.

  • Are images stored in high resolution?

    Yes, the images you upload to the DAM / file manager are retained in their original state. When you choose to link an image to an object, a new (jpg) image is automatically generated without any loss of quality. This optimized image minimizes data traffic while using KLEKSI and ensures that visitors to the front end of your website are relieved from long loading times.

  • What happens to the original images I post in KLEKSI?

    Images you upload to the DAM/file manager are retained in their original state. When you choose to link an image to an object, a new (jpg) image is automatically generated without any loss of quality. This optimized image minimizes data traffic while using KLEKSI and ensures that visitors to the front end of your website are relieved from long loading times.

  • Is the original image used for the deep zoom function?

    The deep zoom function generates new images (blocks) from the original image. This technique divides the image into blocks that are loaded individually, allowing smooth and seamless navigation even at extremely high resolutions. Users can easily zoom in, zoom out and scroll around without any lag or stutter.

    Deep zoom allows images to be viewed at exceptionally high resolution, allowing users to explore details and small elements without sacrificing quality.

    Unlike loading the entire image at once, deep zoom only loads the currently visible part of the image. This results in significantly reduced loading times, especially with large images. Your visitors don't have to wait for the entire image to load before they can view it, resulting in an improved user experience.

    By dividing the original image into blocks and loading only the necessary parts, storage space is also saved. This is particularly useful when managing extensive collections of images or hosting images on a website, making more efficient use of server resources.

  • How much support time am I entitled to per month?

    As standard, you are entitled to half an hour of support per month. A fair use policy also applies here. If you occasionally require longer support, you will not be charged for this. If your organization structurally needs more support per month, we will discuss this with you and make agreements about this with you.

  • I have special wishes regarding KLEKSI, can they be integrated?

    Yes, KLEKSI is continuously developed by us. New functions are being developed in collaboration with museums and heritage institutions that will also be available to other organizations. In this way, together with you, we create the best collection registration system available. If you have specific wishes that only apply to your organization, we will discuss the options with you.

  • How many objects can I place in KLEKSI?

    In principle unlimited, but this depends on the license you have chosen.

  • What types of objects can I document?

    KLEKSI is primarily designed for use in museums, archives and heritage institutions concerned with archiving and documenting objects and descriptions from antiquity. The system is extremely flexible and can be configured for almost any type of object or description. KLEKSI allows you to define specific topics, each with its own set of fields whose field types you can customize to your liking. The versatility of KLEKSI makes it suitable for a wide range of applications, making it a valuable tool for a diverse target group.

  • Can a visitor to our website search our database?

    Yes, visitors to your website can easily search by words. Our advanced search functionality is made possible by implementing Elasticsearch. This means that suggestions will be shown to your visitors even in case of typos, optimizing the search experience. Additionally, the KLEKSI frontend offers a powerful filter option that allows visitors to filter objects based on various properties. This gives them quick access to the specific information they are looking for.

  • Can I add multiple images to an object?

    Yes, it is possible to place multiple images with an object. In addition, you can also add images that you do not want to make public, such as images of defects or restorations that you want to document.

  • Can I create categories and subcategories myself?

    Yes, default categories and subcategories are already set up for you in KLEKSI. You can manage these yourself and add or remove them if necessary.

  • Can visitors to our website share the collection with friends and acquaintances?

    Yes, every collection and every object can be shared with friends and acquaintances via social media.

  • Are all objects and data public for visitors to our website?

    No, you can indicate for each object or object data whether or not it may be made public.

  • I don't want to make my collection public. Is that possible?

    Yes, you can also use KLEKSI for 'internal use' only.

  • Can I add the KLEKSI Frontend to my site myself?

    Certainly! We will provide you with a user-friendly widget, composed of just three lines of code. You (or your website builder) can easily implement this on your website yourself, or if desired, we can arrange this for you free of charge. Our widget is maintained remotely and provided with updates and new features. When it comes to new features, you only need to activate them yourself.

  • Can data be imported from my current system?

    Yes, we can transfer the data from your existing collection management system to KLEKSI for you.

  • Is it possible to get your own backup at our location?

    Certainly, it is possible at an additional cost. We are ready to discuss the different options and associated costs with you, so that we understand your specific needs for realization and data traffic.   • Does the data remain the property of the museum or heritage organisation?

    Yes, the data remains the property of the museum or heritage organization at all times.

  • Who has access to the data?

    We have full control over your content that you upload to the AWS services through KLEKSI.AWS provides an advanced set of access, encryption and logging functions so that we can apply it effectively.AWS provides APIs to configure access control permissions for all services we AWS does not access or use your content for any purpose without our permission. AWS never uses or extracts information from your content for marketing or advertising purposes.

  • Where is the data stored?

    We have set for KLEKSI Europe as the AWS region where your content is stored, we only replicate and back up your content on servers within Europe. AWS will not move or replicate this content outside of Europe without our permission, except as necessary to comply with the law or a binding order from a governmental authority.

  • How is the data secured?

    Among other things, we chose AWS for its industry-leading encryption features to protect your content in transit and at rest, AWS offers the ability to manage our own encryption keys. These data protection features include:

    - Data encryption capabilities available in over 100 AWS services.
    - Flexible key management options using AWS Key Management Service (KMS)

  • What about content disclosure?

    AWS will never disclose customer content unless required to do so to comply with the law or a binding order from a government agency. If a government agency sends AWS a request for customer content, it will direct the government agency to request that information directly from KLEKSI. If we are required to disclose customer content to a government agency, we will promptly notify our customers to enable them to seek a protective order or other appropriate remedy, unless prohibited by law.

  • What security guarantee does AWS offer over the data in KLEKSI?

    AWS has developed a security assurance program that leverages global privacy and data protection best practices to help you operate securely within KLEKSI and make the most of their security control environment. These security and auditing processes are independently validated by multiple independent third-party assessments.
